GENERAL DESCRIPTION:
Under broad supervision of Department Director, incumbent provides a wide range of administrative support duties of a complex and confidential nature.
The individual in this role directly supports the Town of Glastonbury Chief of Police with all related administrative functions.
ESSENTIAL DUTIES:
Performs routine clerical tasks, such as sorting mail, answering telephone calls, calendaring, arranging meetings, preparing minutes and maintaining webpage; ensures working order of office systems, equipment and availability of supplies.
Prepares, reviews and edits a variety of written materials, such as email, memoranda, narratives, letters, and reports.
Reviews incoming correspondence, submissions and reports; distributes, records and files.
Assists internal and external customers with questions and concerns related to department matters, Town services and resources.
Refers concerns to appropriate staff members and follows up to ensure resolution.
Conveys Director's instructions and department procedures to internal and external customers; monitors schedules for compliance with deadlines and conformance with established standards.
Establishes and maintains office procedures and recordkeeping systems; maintains control files for matters in progress and follows up to ensure actions are completed; enters and retrieves database information using a variety of systems; and files and retrieves physical and electronic documents.
Prepares department timekeeping records for Payroll submission.
Participates in the preparation and monitoring of department budget; gathers related documents and verifies financial data.
Maintains inventories, as applicable; solicits bids/quotes, prepares purchase orders, reconciles invoices, and manages cash transactions, as applicable.
Demonstrates continuous effort to improve operations, and streamline work processes.
Contributes to a respectful and safe work environment by fostering a culture of positive communication and ethical behavior, with an emphasis on providing exceptional service to internal and external customers.
OTHER DUTIES:
Performs research and assists with special assignments, projects and events.
Performs other duties as required.
